What can I outsource?

In my last post I talked about outsourcing tasks within your business that do not need to be done by you, to free up your valuable time, increase your productivity and enable you to generate more income.

Maybe you have already identified that it’s time to start outsourcing, or perhaps you’ve acknowledged that this is something you will work towards. The next step is to think about what to outsource.

Where to start?

Take a moment to look at how you spend each day.  It’s useful to make a list of all the things you do. Each day may be different, so you may want to write a couple of lists.  Get it in front of you. It helps to be visual.  If you repeat a task, write that down too.  You might prefer to make your list throughout your day, making notes of what you do to get a true reflection of how you spend your time.  Your list may look something like this…

  • Check diary for today’s meetings/events
  • Check emails
  • Make call backs
  • Perform income earning task
  • Check emails
  • Post on social media for business
  • Identify meeting request in emails – research suitable venue
  • Arrange meeting
  • Perform income earning task
  • Take call from potential client/customer
  • Post on social media for business
  • Check emails
  • Make travel arrangements for meeting
  • Take call from marketing company
  • Perform income earning task
  • Engage on social media for business purposes
  • Invoicing tasks
  • Perform income earning task
  • Check emails

The above is just an example, and quite possibly just demonstrates what half a ‘day in the life of’ includes.  How many of those tasks are actually earning you an income?

Checking emails

Do you find that checking your emails is taking up a big chunk of your day?  Filtering through numerous messages, many of which will not be top priority.  How about if you had someone to sort these for you?  To have your emails categorised to enable you to action those of importance and come back to the others such as newsletters or subscription content at a time that suits you.  This means that your time is spent efficiently on those that require your personal response.  If you have a meeting request, could this be arranged on your behalf? If you have a meeting cancellation, could your diary be updated for you?

Arranging meetings and diary management

Have a call answering service

Do you find that incoming calls can take up a large part of your day?  Of course, you want to speak directly to clients, but perhaps it’s worthwhile speaking to them at an allocated time during the day (unless it’s urgent).  If you had your phone diverted so that your incoming calls were answered, would this help with minimising interruptions?  Would you then only speak to the people that you need to speak to?

Seek assistance with social media

It’s important that your social media presence is personable, but could a little help in managing and or scheduling content, free up more time for you to perform income earning tasks.  Again, you would then just need to allocate a certain time slot for yourself to be ‘active’ and then you can let your well managed social media do the work for you.

Invoicing

Your invoicing is important.  Not only creating your invoices and sending them out, but also ensuring that they are paid.  Do you find that you are also acting as credit controller within your business? Perhaps this is something you could outsource?  Perhaps you could also incorporate with some help with your bookkeeping?

These are just a few elements of your day that could be outsourced. So, using the example task list above, what would it look like to you now if these tasks were delegated?

Those tasks that have now been delegated have now freed up a time slot to perform more income earning tasks.
